Webinar Planning Tips

More and more businesses are choosing to use webinars. Webinars are popular because they offer numerous advantages. Perhaps you need to do an introduction or a briefing on a new product, service, or program. Or maybe you have some pointers and best practices that you want to share with clients or prospects. A webinar is a great tool to deliver your message that also allows you to interact with their audience. In addition, it allows people from all over the world to view the presentation at the same time.

Webinar Planning Tips:

  • Choose a topic and a headline that has appeal and will intrigue
  • Set up the webinar with a reliable provider such as GoToWebinar or WebEx
  • Identify the correct audience
  • Promote and post the webinar through multiple channels such as email and on social networks
  • Create a landing page on your website
  • Create ‘thank you’ emails to send to those who registered
  • Create reminder emails to be sent out one week, one day and one hour prior to the webinar
  • Schedule a complete practice run from start to finish a couple days in advance

Hosting Tips:

  • Test the dial number and any links at least an hour before the webinar starts to make sure participants will not encounter any trouble
  • Start 1-2 minutes after the hour to allow time for participants to call in, but don’t wait more than 3-4 minutes
  • Make sure to have a professional introduction. A good idea is to have a separate presenter to do the introduction.
  • Identify and announce how you will be dealing with questions (if during the webinar or at the end) and instruct the audience on how to do so
  • Inform the audience if you are recording the session and make it available upon request
  • Have a closing and thank you slide that includes information on how to reach your company

Maximize the opportunity with post webinar follow-up. Send follow-up thank you emails and include information of value 1-2 days following the event. This is a great way to reach out to potential prospects and buyers. Analyze the data on registrations, attendance, and interaction from the audience.  This information can be helpful to understand your audience and it is a great way to learn more about them before you try to contact them.
